FAQ Quick Apply
The Candidate Profile and the Job Application are created using the Standard OData API of SuccessFactors. A password is not yet generated when the Candidate/Application are created via the Quick Apply. The generation of the password must be initiated by the candidate themselves through clicking on the mail sent out by SF upon successfully creating the Candidate Profile via the Quick Apply. To do this, we direct the candidate to the standard password reset function, which the candidate can use to (re)set their password.
In the attached screenshot you can see an example of how the e-mail sent to the candidate could look. We recommend to include the following:
- URL to the customer's career page
- Username (email address of the candidate)
- Password reset link through which the candidate can set their password

Managing or deleting your own data via the Candidate Profile is still possible. To do this, the Candidate can log in via the SuccessFactors Standard Candidate Profile Login and manage or delete their data.
The p78 Quick Apply App offers a Multiple Application Feature. Candidates that already have a SuccessFactors Profile can apply to other positions if the feature is activated. When the candidate applies to a new position, their SF Profile is updated with the new information the candidate has provided but the Candidate Snapshots that are connected to previous application remain unchanged.
Customers can choose between using the feature with an OTP (One Time Password) that is sent to the e-mail address provided by the Candidate and through which the candidate can verify their identity and send the new application or using it without the OTP.
The prescreening questions for each job requisition are consumed directly from the SuccessFactors system and displayed in the Quick Apply.
The p78 Quick Apply Application does not support the LinkedIn Profile Upload. A LinkedIn connection can be configured directly via the SuccessFactors system.
The document upload from the end user’s local device is always enabled by default. In addition, you can optionally activate other possible filehosting services such as Dropbox or GoogleDrive.
Dropbox: a company account for Dropbox has to be created (free of charge).
GoogleDrive: the connection to GoogleDrive comes with additional monthly costs. This is due to Google's verification model. Since the p78 Quick Apply App is operated on the SAP Cloud Platform and the domain (ondemand.com) is assigned to SAP, the verification of the app can only be done via a customer-owned domain. The customer's own domain must be booked via the additional package "Custom domain quota".
The uploaded files are stored in the browser cache, which is deleted after it expires or after processing is completed.
To achieve optimal parsing results, a quality of 150 DPI is required for images of the CV.
Through the purchase of the license, the p78 Quick Apply is available on two Instances: SuccessFactors Staging and Production.
- First name, last name, e-mail address, country of residence
- Title (optional), academic degree
- Profession, industry or business name
- Address
- Contact data (e.g. telephone, e-mail)
The Quick Apply itself does not use any Cookies for tracking purposes. However, it is possible to integrate the Cookie Manager of the customer into the Quick Apply so that candidates accessing the Quick Apply through external job portals (e.g. Stepstone) can manage their cookies as well.
All relevant data is stored in the Security Materials in the BTP.
We refer to the SAP Standard „Audit Log Retention API Usage for the Neo Environment“ that the p78 Quick Apply uses.

The p78 Quick Apply uses the data center located in Frankfurt, Germany.
No data is being transmitted to the US/outside of the EU or processed in the US/ outside of the EU.
The p78 Quick Apply uses only one configuration layer per customer. This layer does not contain any sensitive data. It does contain theming information (image sources, SF Login Urls). This information is stored in the SCP NEO Document Service, which is directly consumed by the JAVA backend. Only the backend has access to the Document Service through a secret. The services are seperated from each other through sub-repositories per SCP Neo Subscription Subaccount in the SCP Neo Provider Subaccount.
In the Neo environment, all SAP BTP components are backed up ever 24 hours. The backups are replicated to a secondary site, from where they can be restored in case of a disaster.

Yes, we conducted a penetration test for the p78 Quick Apply on Cloud Foundry.
We are currently in the process of migrating the Quick Apply to Cloud Foundry and plan to finish it by the end of 2025. The platform change will not lead to any additional costs for Quick Apply customers due to the use of the SaaS Subscription Model.
