How is the Candidate Profile created automatically?

The Candidate Profile and the Job Application are created using the Standard OData API of SAP SuccessFactors. A password is not yet generated when the Candidate and Application are created by the application.

The candidate receives a mail confirming the application and a mail that informs the candidate about the successful creation of a SAP SuccessFactors candidate profile and provides a password reset link (SuccessFactors standard function) for the candidate so they can set their password and access their profile.

 

Can the candidate still manage/delete their own data via the SAP SuccessFactors profile?

Yes, the candidate can log in to their SAP SuccessFactors Profile and modify their data whenever they want.

What happens if a Candidate applies that already has a SAP SuccessFactors Profile?

Candidates that already have a SuccessFactors Profile can apply to other positions. When the candidate applies to a new position, their SF Profile is updated with the new information the candidate has provided but the Candidate Snapshots that are connected to previous application remain unchanged.

Many applicants do not have a CV on their phone. Can they still apply via WhatsApp?

It is a standard SAP SuccessFactors configuration that the CV is required for the Candidate creation. However, a lot of applicants do not have access to a CV on their phone and thus would not be able to complete the WhatsApp application on their phone. These applicants have the option to complete the application on another device e.g. their computer or if the customer has activated the Dummy CV function that is offered, the applicant can choose not to upload a CV and still complete the application on their phone. Then, PitchYou creates an empty dummy CV so the required field can be filled and no applicant is lost due to having no access to a CV.

How can I configure what questions are asked in the chat?

The questions asked in the WhatsApp chat are based on the fields that are configured in the customer's SAP SuccessFactors Candidate Profile and the Job Application template that is connected to the accessed Job Requisition. The questions are posed so the fields can be filled in with the answer of the candidate (e.g. field ‘address’ and question for the field: ‘What is your address?’ or field ‘e-mail’ and question for the field ‘What is your E-Mail?’)

All required fields have to be filled in (e.g. name, e-mail) and the customer can choose which of the non required fields should be displayed in addition to the required fields. The prompts (questions) for the field input can be freely chosen by the customer. Prescreening questions are automatically displayed.

Is the applicant asked for their consent to the data privacy policy?

Before the applicant can start the application, they are forwarded to a view with information about the WhatsApp Application. The applicant has to confirm their consent to the terms of use and the data privacy policy. Through clicking on the terms, the candidate can open the documents and find all relevant information for the application process.

Which personal data of the candidate is being processed?
  1. First name, last name, e-mail address, country of residence
  2. Title (optional), academic degree
  3. Profession, industry or business name
  4. Address
  5. Contact data (e.g. telephone, e-mail)
Are you conducting your own penetration tests for the app?

Pen tests have been performed by an external agency with a specialization in banking security and data privacy. We do not conduct pen tests by ourselves but they can be requested by the customer. 

What do I need for the implementation of the WhatsApp Application?

Customers need to create a WhatsApp Business Account. If no account exists before the configuration, it is recommended to wait with the configuration of the account so that the configuration can be done via PitchYou and the customer can save on time and effort.

SAP SuccessFactors instances for Testing and Production are required.

How many instances are available?

Through the purchase of the license, the customer can set up a Staging and a Production instance.

How long does the implementation take?

Depending on how long it takes the customer to provide us with all necessary information the implementation takes about 4 - 8 weeks.

Do you store to any time any data in your application?

No, in general we do not store any data. We communicate in real time via the standard oData API.

In case the real time data transfer via the standard oData Api fails for any reason our partner PitchYou temporary stores the data for 24 hours and tries to reprocess the data to transfer it to the customers SAP SuccessFactors system.

Can I see the WhatsApp Chat history in the SAP SuccessFactors Correspondence section?

No, it is not possible due to the SAP SuccessFactors oData limitation.
