Digital Adoption for HR/IT Systems like SAP SuccessFactors and SAP Concur

Greater user adoption. Fewer support tickets. Measurable ROI.

Traditional training delivers knowledge at a single point in time, usually just before go-live. In everyday work, this knowledge fades quickly, while releases change interfaces and employees switch between multiple systems. SAP WalkMe adds a layer to traditional training that provides support precisely when the work actually happens. Users receive context-sensitive guidance directly within the process, available around the clock and increasingly AI-powered.

What is Digital Adoption — and why it matters now

Digital adoption describes the state in which deployed software is actually used the way it was designed to be: fully, correctly, and in line with the intended business processes. It is not the same as rolling out an application, nor is it something a one-off training can achieve. Digital adoption begins precisely where traditional change-management and training approaches hit structural limits.

The reason is simple. Modern SAP applications are powerful, but also complex. Releases appear several times a year, interfaces change, and employees switch between multiple systems within minutes. A half-day training before go-live cannot absorb this dynamic. The result: broken processes, incorrect entries, rising support load, and a gap between what a system could deliver and what it actually delivers in day-to-day work.

Digital adoption addresses exactly this gap — not through more training material, but through support in the moment of work. And this is precisely where Digital Adoption Platforms like SAP WalkMe come in.

What is WalkMe?

SAP WalkMe is SAP's Digital Adoption Platform — and much more than a tool for guided click-throughs. WalkMe is a central platform that enables companies to empower their employees across systems, make processes transparent, and continuously improve software usage. Smart Walkthroughs are just one building block among many.

The goal is not to explain a single application, but to enable people to master digital processes confidently and independently. To that end, WalkMe combines several functional areas on one platform:

  • Enablement in the process. Guided walkthroughs, context-sensitive prompts, and inline help support employees exactly where a task is carried out.
  • Transparency and analytics. Usage analytics reveal how applications are actually used, where processes break down, and where there is room for improvement. This creates a solid basis for data-driven decisions.
  • Automation. Recurring and error-prone steps can be automated, reducing input errors and freeing employees from routine tasks.
Validation and data quality. Entries are checked in real time, so that faulty data never arises in the first place.
  • AI-powered assistance. WalkMe is increasingly evolving into proactive, AI-powered support that guides users through tasks in natural language.

These functions work across systems — not just within a single SAP application, but along entire process chains spanning multiple systems.

The business value of a Digital Adoption Platform

Consistent digital adoption has a measurable impact on business performance. It determines whether investments in new systems pay off or whether potential is lost in unused features. For HR and finance applications, which nearly all employees use daily, this lever is especially powerful.

Our approach to introducing WalkMe

Every company starts with different requirements, processes, and priorities. That's why we follow a structured yet flexibly scalable rollout approach. From identifying suitable use cases through technical implementation to ongoing operation, we accompany you across the entire lifecycle of your digital adoption solution.

Phase 1: Scoping

Together, we lay the foundation for a successful WalkMe project. In workshops, we analyze existing processes, identify suitable use cases, and define the project scope.

Focus areas:

  • Analysis of existing processes and user interactions
  • Identification and prioritization of use cases
  • Definition of goals and success criteria
  • Project scoping and roadmap creation

Phase 2: Technical Onboarding

Before the first solutions are built, we establish the technical basis for using WalkMe within your system landscape.

Focus areas:

  • Selection and setup of the deployment method
  • Editor configuration
  • UUID setup and user identification
  • Technical validation of the environment

Phase 3: Workflow Build – Phase I

Once the technical foundation is in place, implementation of the first WalkMe workflow begins. Together, we plan the user guidance, develop the defined workflows, and test them under real-world conditions. This creates digital assistants that support employees directly within the process and guide them safely through new procedures.

Focus areas:

  • Solution planning and design of the user guidance
  • Development of Walk-Thrus, SmartTips, and ShoutOuts
  • Build & design of the defined use cases
  • User Acceptance Testing (UAT)
  • Troubleshooting and optimization before go-live

Phase 4: Go-Live & Post-Go-Live Activities

After the first build phase has been successfully completed, go-live takes place. We closely support the transition to production and assist with the usual post-go-live activities, so that the solution runs stably and users are optimally supported.

Focus areas:

  • Go-live of the developed WalkMe solutions
  • Support during the transition to production
  • Post-go-live activities
  • Stabilization of the solution
  • Supporting users during the initial phase

Phase 5: Workflow Build – Phase II

Right after go-live, the next implementation phase can begin. Additional processes and use cases are mapped into WalkMe step by step. In doing so, we again run through the proven phases of planning, development, testing, and optimization.

Focus areas:

  • Solution planning
  • Build & design
  • User Acceptance Testing (UAT)
  • Troubleshooting
  • Implementation of additional processes and use cases

Phase 6: Hypercare

After the implementation phases are completed, the transition into the hypercare phase takes place. Here, through ongoing technical support and continuous maintenance, we ensure that WalkMe can be operated successfully over the long term.

Focus areas:

  • Ongoing technical support
  • Maintenance
  • Continuous support of the solution
  • Long-term assurance of project success

So that your HR transformation pays off

New HR systems only unlock their value once employees use them confidently. Yet it is precisely during phases of change that this confidence is least present: interfaces are new, processes have changed, and familiar routines suddenly work differently.

That's why, with HR Nova, we pursue a holistic transformation approach in which digital adoption and organizational adoption are considered from the very start. This way, the switch doesn't become an obstacle but a low-friction transition.
